Below are the steps to award one or more applications directly from a Letter of Intent (LOI).


Note: If you would like to convert the LOI to a full competition, see this article instead.


1. From the Manage view, click the Edit button on the right side.

2. Click the Finalize button.

3. Under the Options dropdown, select Award Directly from Letter of Intent.

4. The pop-up window explains what will happen next. Click Yes to proceed. You'll be able to cancel the process later if needed.

All other applications will be automatically marked as Rejected. Your changes will be saved. Yes button outlined in red directly below.


5. The award steps will show on the right sidebar. Scroll down to view the list of all applications. 

  • Select the application(s) you want to award. (An application can have any status).
  • Click Submit.

6. Award Message - Edit as needed and then click Next.

  • A - Choose to send a notification or not.
  • B - Cc/Bcc others (optional).
  • C - Add an attachment (optional).
  • D - Edit subject line (optional).
  • E - Check or un-check the box to include reviews with each awardee email. This is an "all or none" function, i.e., all feedback from all reviewers in all routing steps will be shared if the box is checked.
  • F - Edit the body of the message. Delete the sentence that contains the {award amount} mail merge field, or you won't be able to go to the next step.
  • G - Click Next.

7. Reject Message - The options on this screen are similar to the Award Message functions. Edit as needed and then click Next.

  • H - Choose to send a notification or not.
  • I - Cc/Bcc others (optional).
  • J - Add an attachment (optional). The file should be less than 10MB.
  • K - Edit subject line (optional).
  • L - Check or un-check the box to include reviews with each awardee email. This is an "all or none" function, i.e., all feedback from all reviewers in all routing steps will be shared if the box is checked.
  • M - Edit the body of the message (optional).
  • N - Click Next.

8. Finalize Awarding- On the last page, verify who you've chosen to award in the top section. The summary email in the box below will be sent to administrators and anyone else you'd like to copy. 

  • If you realize you made a mistake in the process, click Cancel Awarding to return to the LOI. 
  • Click the Finalize Awards button to complete the process and be taken directly to the competition that shows the awarded application(s).

9. The converted competition will appear on the screen. Scroll down to the Data Grid to view the awarded application(s).
