Does an applicant need another user to be able to submit applications on their behalf? Applicants can add one or more proxies to their account from their user profile.


Super Administrators (and Global Administrators when microsites are enabled) are able to do this on behalf of applicants. 


Here's how:

1. Go to the Admin tab on the Global Navigation bar.

2. Click Manage Users on the right side.

3. Find the user who needs to have a proxy added to their account and click their name.

4. Click the Edit This User button on the right side.

5. About halfway down the page, click the Add Proxy button.

6. Enter the email address of the user who should be the proxy for the applicant. 

    Note: If your site has SSO enabled, make sure to use the email address associated with the user's SSO account

7. Click Add.

8. Repeat the process as necessary to add additional proxies. Once all proxies have been added, click Save.

9. If you need to delete a proxy, click the trash can icon next to their name. Then click Save.


Email Communication about Proxy Additions

When a proxy is added by an administrator, emails are sent to both the main applicant (i.e., the one that needed a proxy added to their profile) and the proxy. The administrator that added the proxy is copied on both messages. Examples are shown below.


Email to Main Applicant

Subject line: Proxy applicants designated for {applicant name}

A. Administrator name and email address

B. Link to support articles about proxy functionality

C. Name(s) and email address(es) of assigned proxy or proxies.

D. Takes user to their profile, where they can see the assigned proxy or proxies.



Email to Proxy

Subject line: Acting as a proxy for {applicant name}

E. Administrator name and email address

F. Link to support articles about proxy functionality
