Clients who used Progress Reports prior to the May 2021 release will have data migrated from prior progress reports into the new format. Below are details about how each piece of data was migrated and will display to administrators.

Assigning Progress Reports

  • Because the prior functionality did not allow administrators to send an assignment email, the assignment date for each progress report will show as the date the first reminder was sent, but with a report deadline of the latest reminder set.
    • For example (see image below), if the first reminder was sent on 10/31/18 with a deadline of 11/10/18, but the latest reminder was sent on 9/24/20 with a deadline of 9/30/20, the migrated report will show the assignment date as 10/31/18 and a deadline of 9/30/20.
  • Administrators do not need to take any action on past assignment dates, unless they want to edit a deadline to be in the future.
  • If progress reports were worked on with no reminders ever being sent, they will need to be assigned before additional reminders can be set.

Administrator view of migrated data

The information below only pertains to opportunities that utilized more than one progress report prior to the release.

Progress Report Deadlines

  • Because the prior functionality did not associate a progress report deadline with a specific report, the progress report deadline will be the same across all progress reports.
  • The date displayed will be the deadline most recently used in the system before the migration.
  • Administrators can edit the deadline of any report to be in the future. They cannot edit deadlines to display a date in the past.

Progress Report Reminders

  • Because the prior functionality did not associate reminders with a specific progress report, past reminders will be displayed on all progress reports.
  • Administrators do not need to take any action on these past reminders but can expand them to view if needed.
  • All pre-existing reminders that were set up but not sent yet will be sent as scheduled. However, these will also be duplicated across progress reports. So, there may be redundant reminders you want to delete.

File uploads

  • Because the prior functionality did not associate file uploads with a specific progress report, existing file upload options on the progress report form and any submitted files will be initially replicated across all progress reports.
  • Administrators can then delete irrelevant file upload options (and the associated submitted files) from specific progress reports.
