A Viewer is a non-Admin user that has access to the Data Grid only, once an opportunity has been launched. They can view, but not edit, the information displayed in the grid. Users with this role do not count toward your allotted license total.
Notes: - A Viewer must be an existing user in your InfoReady site. If they are not, they can log in with SSO to create their account automatically, or register for an account if they're an external user. - A user can be both an applicant and a Viewer for the same opportunity. If added, they will have view access for all applications submitted, not just their own.
Only administrators with access to an opportunity can add Viewers for it. Here are the steps:
1. From the Manage view, click the Viewers header.
2. Enter the email address of the Viewer.
3. Click Add.
4. Select if the Viewer can see Comments to the Administrator. By default, these comments are excluded.
Once the Viewer is added, they will receive an email from the system with a direct link to the opportunity. They will need to log in to view the Data Grid and download PDFs and/or reports.
Note: If a user loses the link or email, any administrator with access to the opportunity can go to the Manage view, copy the URL in their browser's address bar, and send the URL to the Viewer. As long as the Viewer is logged in, they will see that opportunity's Data Grid.
