If an administrator or reviewer tries to download one or more applications as a PDF, they may see this message:

Data inside one of the supporting documents is preventing conversion to PDF format.

Please print the supporting documents manually.

Error message modal

Supporting materials can be downloaded separately on the right side of the screen under the Application Files section.

Note: If the error appears when trying to download applications in batches, the issue may not be with a specific file but rather the total size of the application packet. Try to download in smaller batches before looking at individual files.

As an administrator, if you'd like to try to determine which file is causing the error, we recommend the steps below. Then you can edit the application to replace the file: Edit Application as an Administrator.

  • Look through the uploaded files for the application to see if there are any unusual file extensions (for example: mp4,  .zip, .pages)
    • If you find any of those, download them and then delete them. Ask the applicant for a new file in a different format.
  • If you don't find any unusual file extensions:
    • Download all of the application files.
    • Delete the application files from the application.
    • Re-upload the files that you downloaded.
  • If this doesn't work, delete one file at a time, replacing it with a blank Word document.
    • Each time you do this, try to download the PDF.
    • If you can download the PDF, you will have isolated the problem file and you can ask the applicant for a new file.
