Whether you're new to using proxies or just need a quick answer, you've come to the right place. Here, we cover the most common questions about what proxies are, how they work and how to use them in InfoReady.  



1. What can a proxy do in InfoReady?

  • A proxy can submit applications on behalf of the user who designated them. They cannot submit reviews or progress reports on behalf of other users.  
    Note: delegating a progress report is a separate action from designating a proxy.


2. How do I add a proxy to my user profile?

  • You can add a proxy from your User Profile. Navigate to your profile settings and look for the Proxy Section to designate another user as your proxy.


3. Can I have more than one proxy?

  • Yes, you can designate multiple users as proxies in the Proxy Section of your User Profile.


4. Can I remove a proxy after I've added them?

  • Yes, you can remove a proxy at any time by returning to your User Profile and deleting the proxy from the list.


5. Who can add proxies for other users?

  • Super and Global Administrators can add proxies for any user via Admin tab > Manage Users.

  • Individual users can only add proxies for themselves through their User Profile.


6. Can a proxy see all of my applications or just the one they submit?

  • Proxies can typically only act on applications they submit on your behalf. They do not have full access to your account or history.


7. Can proxies submit applications for multiple users?

  • Yes, if they have been designated as proxies by multiple users, they can submit on behalf of each of them.


8. Will I be notified when a proxy submits an application for me?

  • When the application is submitted by proxy, the applicant will automatically receive an email confirmation that the application was received. 


9. How can proxies access the Submit by Proxy option?

  • If they are designated proxies, they will see this option Apply as Proxy in the appropriate application interface.

  • Administrators will see the Submit by Proxy button under the Manage view for any opportunity.


10.  How do I access a draft application that I am working on as a proxy?

  • You will need to navigate back to the specific opportunity that you previously accessed and click on the Apply as Proxy button or tab.  You must select the name of the applicant for whom you are submitting the application from the designated dropdown menu and choose the Draft application.


11. Where will I find an application that has been Submitted by Proxy on my behalf?

  • Applications will be listed in your Applications Tab. When you view your application history the status of your submission may reflect that a proxy was involved. The application status may show (By Proxy) after it, which indicates that the submission was made by another user (either your designated proxy or an administrator) on your behalf.


12. If I am a proxy, how do I find an application that I have submitted on behalf of someone else?

  • The application will appear only under the applicant’s "Applications" tab. It will not be visible in your own "Applications" tab. 

  • If the competition is closed, you will no longer have access to the application. To access an open application, you must return to the Apply as Proxy process.


13. Can I or a proxy make changes to an application after submission?

  • Once an application is submitted, it is at the Administrator’s discretion whether edits are allowed. The Administrator may either make changes on behalf of the applicant or return the application to the applicant for editing.

  • If the application is returned and the competition is still active, you may be able to access and edit it by using the Apply as Proxy process to locate the application.


14. If I do not designate a proxy, and they submit an application under their own account on my behalf can I access that application? 

  • No, you will not have access to the application. The application will be attached to that specific user's profile. The application cannot be reassigned to a different user.
