The information described below is currently being utilized by a small group of clients with custom projects working directly with InfoReady. It is not available for use by Administrators. We hope to release the functionality more broadly in 2025.
Specifications
In order to have an additional field from the Requirements page (i.e., application form) used as a mail merge tag it must:
- Be a required field - There must be a response submitted within each application.
- NOT be hidden from any applicants via conditional logic
- Be one of the following question field types:
Available Email Templates
Reviewer
- Review Request
- Application Resubmitted
Admin
- Application Received from Applicant
- Review Submitted
- Reviews Complete for Routing Step
- Progress Report Submitted
Applicant
- Your Application Received
- Return Letter of Intent Application to Applicant
- Return Application to Applicant
- Application Returned for Revisions
- Accept Letter of Intent Application
- Converted Letter of Intent (Advanced)
- Accept Application
- Award Application
- Reject Application
- Withdraw Rejection
Awardee
- Rescind Award
- Progress Report Assignment
- Progress Report Submitted
Progress Report Delegate
- Progress Report Delegate Assigned
Inserting the Fields
In any of the email notification templates listed above, an Administrator* can insert the name of a field by typing the field reference into the notification template in the format:
{app.[FieldReference#]}
For example, {app.Field7} or {app.Field32}. The field reference can be found by opening the Settings panel of any question. Learn more. You can also add styling to the message. For example, the field below is bolded and green:
The following three fields have specific field references that are not numeric. To insert them, use the bolded formats below:
- Applicant First Name: {app.applicantFirstName}
- Applicant Last Name: {app.applicantLastName}
- Application Title: {app.proposalTitle}
Preview the Notification
Once you've added the desired field(s), click Preview to make sure the notification appears as expected. If you've done it correctly, the field label will display in the box:
Note: If the field you try to insert does not match one of the specifications above, you'll see an error message:
