  • Name the different Stage Management tabs and describe what application statuses appear in each. 
  • Customize columns within the Data Grid; search, sort, and filter columns. 
  • Save a customized Grid View on any State Management tab.

Stage Management Tabs

When you access the Data Grid, you will see that Applications are grouped by status into five stage tabs: 

  • All - Every submission, including drafts and submissions in any stage of the process 
  • Submissions & Drafts - All applications in a status not yet assigned to be reviewed (Draft, Submitted, Accepted, and Returned) 
  • Review - All applications currently in the review process or that have been awarded/rejected (Accepted, Assigned, Reviews Active, Reviewed, Awarded, Rejected) 
  • Award - All applications where the final award is ready to be entered (Reviewed) or a decision (Awarded/Rejected) has been entered 
  • Post Award - Applications that have been awarded. Progress Report information (if applicable) appears here.

Columns

Default columns in the Data Grid are the same in each opportunity, but you have the choice to customize these columns per tab as needed. Customizing can save a lot of time, based on the specific task(s) you are performing.

Grid View

Right next to the Columns heading on the Data Grid is the Grid View heading. You can switch between Full and Simple views, or if you customize columns and want to save that custom view, here is where you save that view.

Module 4C: Put into Practice Exercise 

Scenario 1: You are managing an opportunity with over 100 applications. You receive an email from an Applicant wondering if their Letter Writer sent a Letter of Recommendation yet. The Applicant signs their email simply, Alex. You have one application from an individual named Alexis, two from individuals named Alexandra, one Alexandria and one Alexander. Besides asking the Applicant for their full name, how might you search the Data Grid to find the application?
- Scenario 2: After you find Alex’s application from Scenario 1, what Stage Tab would you need to customize to check the application’s Reference Letter status? If only one letter is required for the application, what would you expect to read on the Data Grid if the letter had been sent?
- Activity 1: Go to your Manage tab and click on the opportunity title of an opportunity that has applications listed. Once on the Manage View, go to the Data Grid and click on each Stage Management tab to become familiar with the default columns. Select one tab and practice customizing columns, checking, and unchecking options. After you apply the column changes, drag one of the columns to place it in a different order.
- Activity 2: After you complete Activity 1, repeat the same process on a different tab. Then, click the Grid View and save your customization. Take a screenshot of the customized columns then paste that image in a Support ticket. Note Module 4C completion in your ticket.
