Administrators can customize many aspects of their review process within the Routing Step Options box. This box is included within each Routing Step and contains four separate selections. 


To access the Routing Step Options box, while in Edit mode, follow these steps.

  • Step 1: Click on the Routing Steps button on the right.
  • Step 2: Click on the Routing Step title to expand the step.
  • Step 3: Scroll down to the Routing Step Options box, which is directly above the Reviewer Acknowledgment box.

The chart below outlines what to expect when option boxes are checked or unchecked. The default is unchecked. Routing Step Recap boxes are also unchecked by default.


 Reviewers can see the identity of the applicant. *

Checked

  • Reviewers see the Applicant’s name.
    Note: If there are multiple Routing Steps, Administrators should check this box in the Routing Step Options for each of the Routing Steps if they want all Reviewers to see
    the Applicant's name.
Unchecked
  • Instead of the Applicant’s name, Reviewers see “Withheld by Administrator.”
    Note: Administrators who want a more blind review process should uncheck this box. If there are multiple Routing Steps, Administrators should uncheck this box in the Routing Step Options for each of the Routing Steps if they want all Reviewers to see "Withheld by Administrator" in lieu of the Applicant's name. 


Different templates hide varying amounts of data when the "Reviewers can see the identity of the applicant" option box is unchecked. To learn more read this article: Blind Review Process (Hide Applicant Identity).


 Provide reviewers with read-only access to all applications.

Checked

  • Reviewers can access all submitted applications, even those they aren't assigned to review.
  • Although they can see other applications, Reviewers only submit reviews for applications assigned to them.
  • Reviewers have access to the View All Applications button. If they click that button, they will see a list of other applications submitted for that opportunity. 
  • Reviewers can click on application titles to view in the platform, or download a pdf.
    Note: Administrators who want Reviewers to get a sense of what other types of applications were submitted in an opportunity choose to checkthis box.
Unchecked
  • Reviewers only have access to applications they are assigned to review.
  • Reviewers do not have access to the View All Applications button. 


 Pass completed reviews from this Routing Step to reviewers in the 
 next Routing Step.

Checked

  • Reviewers in later Routing Steps will have a View Other Reviews button activated on their review screen. 
  • As a result, when Reviewers view the application, they will be able to read review feedback from Reviewers in the previous step(s) for that application. 
  • The identity of previous Reviewers will not be visible.
    Note: In some cases it can be helpful for Reviewers to see previous reviews for an application to help inform their review(s).
Unchecked
  • Reviewers in the next routing step will not see reviewer feedback from the previous step.
  • Reviewers will not have access to the View Other Reviews button.


 Runs Concurrently With Following Step.

Checked

  • If there are multiple Routing Steps in the review process, Reviewers assigned to the concurrent Routing Steps can review the same application at the same time.
  • For example if there are 3 Routing Steps, if only Routing Step 1 has this option box checked, then Reviewers in Routing Steps 1 and 2 can review the same application at the same time. Reviewers in Routing Step 3 will need to wait for all reviews in Routing Steps 1 and 2 to be completed, before they can access the application to review.

    Note: When reviews run sequentially, a Reviewer who is assigned to Routing Step 1 receives a different Review Request email notification than Reviewers assigned to later steps. The latter receive the Review Requests Digest email. However, if Routing Step 1 runs concurrently with the next step or steps, then all Reviewers in those concurrent steps receive the same Review Request email notification as Routing Step 1 Reviewers. Administrators should not check this box if there is only one Routing Step in their review process. If they do, an error message box will appear.
Unchecked
  • Routing Steps will run sequentially. 
  • Reviewers assigned to the same application to review, but assigned to different Routing Steps, cannot review that application simultaneously.
  • Reviewers assigned to any review step after Routing Step 1 will receive the Review Requests Digest email.
