Using templates in the system is a great way to keep data consistent across similar programs. The process is nearly identical to creating a specific opportunity, but below are a few notes about each step. Also, keep in mind that you don't have to fill out required fields if your plan is to simply create a template and nothing else.
- Create tab - Begin by clicking Create in the main navigation bar, which will take you to the template selection screen.
- Details - All fields marked with an asterisk are required. You can select any date for the Internal Submission Deadline. For the Description, insert a basic explanation of the template or put something like "Put description of specific opportunity here." to note that it will need to be filled out for any opportunity that is made with the template.
- Requirements - Include any fields (e.g., email address) and file upload options (e.g., CV) that will be required on all applications submitted to an opportunity made with the template.
- Routing Steps - Will there be a consistent review process for opportunities made with the template? If so, build in the steps here. If not, skip this section for the template.
- Notifications - This section will likely be customized per opportunity, but you can make any modifications to email templates here if there are specific communication notes that will stay the same. For example, contact information or sponsorship notes may be useful to put in specific messages to applicants and/or reviewers.
- Progress Reports - Will there be standardized post-award reports for opportunities made with this template? If so, create them here. If not, skip this section.
- Finalize - Select Save as Template (or Save as Letter of Intent Template if applicable). Enter the name of the template and click Finish.
- The next screen will ask what you'd like to do with your current draft (Save, Launch, or Schedule Launch Date).
- Choose and option and then click Finish.
- The template will now show on the right sidebar from the Manage tab (under Your Templates).
- To create a an opportunity with the template, click Create > My Templates and select the template.
- To share the template, Super or Global Admins can access it from the Admin tab > Configure Platform section.
