Do you need applicants to identify one or more individuals that should be the first approver(s) or reviewer(s) of their application? 


Use the Applicant-Driven Routing Steps (ADRS) feature to automatically populate the review assignment(s) for the first routing step(s) of each application. 

  • The reviewer listed in the step will be automatically assigned and notified upon submission of the application. 
  • They will receive the email message from the Review Request email template, so you may want to edit that notification before collecting your first submissions.


Notes: 
- Enabling this feature will automatically accept applications into the review process.
- Administrators will not be able to return applications to applicants for edits.
- If applications need to be edited in an opportunity that uses ADRS, administrators can edit on the applicant's behalf, or have them re-submit a new application.


Administrator Set Up - Requirements Page

You can request that applicants enter one or more email addresses in the Applicant-Driven Routing Steps section of the Requirements page:


1. Select Yes under "Do you want to enable applicant-driven routing steps?"

2. Type in the number of applicant-driven routing steps you need for each application. The applicant will be required to enter an email address for each.

3. Label the section heading, which is what applicants will see on the application form.

4. Review and edit the additional instructions for applicants

    Note: These instructions cannot be changed once an application is submitted.

5. Type in each field label (45 character limit).

   Note: Field labels cannot be changed once an application is submitted. 


Applicant-Driven Routing Steps section: You may require applicant to designate certain individuals (e.g., advisors, department chairs, etc.) to review or approve applications before applications enter the formal review process. A routing step will be created for each individual you require; you will configure these along with other routing steps. 1. Do you want to enable applicant-driven routing steps? (Radio button 'Yes' selected). 2. Number of Applicant-Driven Routing Steps: (3 listed in field). 3. Application Section Heading: (Approvals typed in). 4. Additional Instructions for Applicants: (In text box are these instructions, which can be edited: 'Please enter the email address of any individual requested below. Once your application is submitted, each individual will need to review or approve your application before it is accepted for formal review or approval. Only one email address may be added in any field.

5. Application Field Labels tooltip that read: Identify the titles or roles of the individual(s) you wish the applicant to include for each applicant-driven routing step.


If you need to delete a label, click the trash can icon next to the appropriate label and then click Delete to confirm.

Delete Application Field Label(s) pop-up modal: This action will delete the following application field label(s): Dean. Deleting an application field label will also delete its associated routing step and its configuration. This action cannot be undone. Are you sure you wan to delete the application field label(s)?


Administrator Set Up - Routing Steps Page

  • Begin configuring these routing steps like any other. 
  • The Disable Accept or Return Application box is checked an cannot be edited.
  • The Routing Step Name will pre-populate based on the field label from the Requirements page. 
  • The default routing step type is Approve/Do Not Approve, but you can edit this if needed.
  • Continue editing and formatting the routing step, making sure to provide specific instructions for reviewers.

Check box with "Disable Accept or Return Application" option checked and greyed out. Routing Step Name 'Advisor' listed in field.


  • Once the routing step is configured, returning to Edit mode will show it collapsed by default. 
  • Click the label or arrow icon to expand the routing step. 3 collapsed routing steps: Advisor, Department Chair, Dean

What if an applicant enters the wrong pre-approver email address?

Administrators should delete the current review assignment and re-assign to the correct reviewer. The administrator will not be able to edit the pre-approver email address from the application form.
